Minutes April 27, 2010

The regular meeting of the First Coast Summer Swim League was held on Tuesday, April 27, 2010 at Jacksonville Golf & Country Club. Members present were Roy Deary - Oakleaf Plantation, TG Kyrazis - Pace Island, Cindy Fritts - Pace Island, Jan Bullock - Eagle Harbor, Leah Tincher - Jacksonville Golf & Country Club, Kellie Teate - Sawgrass, Caitlin McCarthy - Selva Marina Country Club and Guest Marilyn Reid - Putnam County.

1. The meeting was called to order at 1:05 pm by Roy Deary - President.

2. The minutes from the March 9, 2010 meeting were reviewed. Motion was made by Jan Bullock to accept the minutes, 2nd by Caitlin McCarthy. Motion passed.

3. The treasurers report was given by Jan Bullock. The FCSSL checking account is set up at Bank of America. The names on the account are Jan Bullock - Treasurer, Roy Deary - President and TG Kyrazis - Vice President. There is $2,499.20 in the account at the present time. Each check written on the account will require 2 signatures. The league needs to pay Colleen White $87.50 for reimbursement on the Corporation papers and TG Kyrazis $100 for the website set up cost. The debit card for the FCSSL needs to be used at least 1-2 times per month to avoid the $17 a month service charge. Jan Bullock will take care of this. Jan will do invoices for teams if they need one in order to cut a check for the league fees due on or before June 1, 2010. Each team must send her a roster out of Team Manager one week prior to June 1, 2010 and she will provide an invoice to the team.

4. Each team must purchase their own copy of Team Manager and Meet Manager. They must contact Hy-Tek directly.

5. Discussion on adding Putnam County Sharks to the FCSSL. Motion was made by Roy Deary to add them to our league, 2nd by TG Kyrazis. Motion passed.

Putnam County will be added to the following meets:

Pace Island & Putnam County at Oakleaf 6-12-10

BAC & Putnam County at Eagle Harbor 6-19-10

BAC & Putnam County at Pace Island 6-26-10

Selva & Putnam County at Pace Island 7-8-10

6. The By-laws were reviewed and accepted with the changes highlighted. Motion was made by Kellie Teate to accept the 2010 by-laws, 2nd by TG Kyrazis. Motion passed.

7. Kellie Teate contacted Atlantic Graving and Graphics regarding awards for champs. We will need approximately 680 medals for champs and 856 ribbons. The trophies for 1st - 3rd place will be a 3 column trophy and 4th - 10th place will be a 2 column trophy. Kellie will check on trophies for 2009. The approximate cost for the trophies will be about $45 each. She will follow-up with Atlantic Graving to get the specific costs and report back at the next meeting.

8. The website is done. Teams are encouraged to send photos to Cindy Fritts to add to the website.

9. The next meeting of the FCSSL will be June 21, 2010 at 1:00 pm at Eagle Harbor, 1880 Eagle Harbor Parkway, Fleming Island, FL.

10. Motion to adjourn was made by Kellie Teate, 2nd by Jan Bullock.

First Coast Summer Swim League

Meeting February 9, 2010

The regular meeting of the First Coast Summer Swim League was

held on Tuesday, February 9, 2010 at Eagle Landing. Members

present were: Roy Deary - Oakleaf Plantation, TG Kyrazis - Pace

Island, Jay Soriano - Eagle Landing, Leah Tincher - Jacksonville

Golf & Country Club, Cindy Fritts - Pace Island, Jan Bullock -

Eagle Harbor, Louanna Perrucci - Oakleaf Plantation and Rod

Swartz - Oakleaf Plantation. Clubs not represented were

Sawgrass, Selva and Beaches Aquatic.

1. The meeting was called to order at 12:45 pm by Roy Deary -

2010 FCSSL President.

2. The minutes from the October 21, 2009 meeting were

reviewed. Motion was made by TG Kyrazis to accept the

minutes and 2nd by Roy Deary. Motion passed.

3. The Treasurers Report was given by Leah Tincher and Jan

Bullock. There is a balance of $2,499.20 in the FCSSL

account at Jax Golf. Jax Golf will cut a check for the balance

in the account payable to FCSSL, Inc. and Jan Bullock will

set up an account at Bank of America and deposit the check

into the account. TG Kyrazis has agreed to purchase the

remaining trophies for the 2009 Championship meet for the

teams that placed 4th - 8th and this will be paid out of the

FCSSL account.

4. Discussion regarding league insurance. Jay Soriano has

done some research and determined that K & K Insurance is

the best policy to use. Insurance is required at Cecil Field to

use their facilities. Motion was made by Jay Soriano to use

K & K Insurance and select Option #1 as the coverage.

According to the policy from 2009 Option #1 would cost

$5.62 per swimmer. This amount will be paid by each

swimmer in the league. Second by Roy Deary. Motion

passed. A copy of the policy was given to every team that

was present. A copy of the policy will be emailed to all

teams with the minutes from the meeting.

5. Discussion regarding the FCSSL Website. Jay Soriano has

done some preliminary work on the website. Jay pointed out

that the only costs involved would be the website hosting fee

which may be around $170 per year. This is assuming that

we would do all of the updates. Cindy Fritts agreed to be in

charge of updating the website. TG Kyrazis has agreed to

continue with the set-up of the website. Motion was made by

TG Kyrazis to continue with the set up and maintenance of

the FCSSL website, 2nd by Roy Deary. Motion passed.

6. Discussion regarding Meet Manager 3.0 for swimming.

There is a new update dated August 25, 2009 for Meet

Manager. It was determined that the update is not

necessary at this point in time since most teams just

purchased their own copy of Meet Manager in 2009.

Eventually every team will want to purchase the update but

this year we will remain with Meet Manager 2.0.

7. Discussion on League Fees. It is uncertain at this time what

the exact amounts will be for the champs expenses. There

was discussion that we can borrow tents from Jax Golf for

the Champs meet. We can use up the balance in the

FCSSL account. Motion was made by Roy Deary to set the

league fee at $15 per swimmer, 2nd by Jan Bullock.

8. Discussion regarding New Teams. Roy Deary reported that

Watermill is definitely a possibility of joining the FCSSL. Jan

Bullock has been in contact with a team in Palatka that may

be interested in joining the league. She will contact them

again to see if they are still interested. Watermill will be

placed on the swim schedule with Eagle Landing.

9. Discussion of the 2010 Swim Schedule. Roy Deary will set

up the swim schedule similar to the 2009 schedule. He will

match up teams and the final scheduling will be at the next

meeting. The schedule will start on Saturday, June 5, 2010.

He will build into the schedule a week off - the week of July

19 - 24, 2010. This will be done in order to re-schedule

meets that had to be canceled due to the weather. Champs

is set for a one day meet on Saturday, July 31, 2010 at Cecil

Field.

10. The next meeting of the FCSSL will be on Tuesday, March 9,

2010. The location will be determined at a later date.

Minutes March 9, 2010

The regular meeting of the First Coast Summer Swim League was held on Tuesday, March 9, 2010 at Jacksonville Golf & Country Club. Members present were Roy Deary - Oakleaf Plantation, TG Kyrazis - Pace Island, Leah Tincher - Jacksonville Golf & Country Club, Jan Bullock - Eagle Harbor, Colleen White - Beaches Aquatic, Cindy Fritts - Pace Island, Caitlin McCarthy - Selva Marina Country Club and Samantha Vanderbilt - Watermill.

1. The meeting was called to order at 1:00 pm by Roy Deary - FCSSL President.

2. The minutes from the February 9, 2010 meeting were reviewed. Motion was made by Colleen White to accept the minutes and 2nd by TG Kyrazis. Motion passed.

3. There was a discussion about the number of meets that a swimmer must participate in, in order to qualify for the championship meet. It was determined that they must swim in 1/4 of the dual meets which equals 2 meets.

4. There was discussion on stroke infractions for dual meets as to when the stroke infractions were going to be counted. Colleen White made a motion to start counting DQ's the third week of June (3rd meet) and continue till the end of swim season. Motion 2nd by Roy Deary. Motion passed. It was also determined that during the 1st two meets that the stroke and turn judge will fill out a DQ slip and give it to the proper coach so that the swimmer can work on that stroke before the next meet.

5. There was also discussion regarding stroke infraction at the championship meet. It was determined that at champs, when a stroke and turn judge sees an infraction, they must raise their hand and get immediate clarification from the Head Judge. Motion was made by TG Kyrazis to add a Head Stroke and Turn Judge to the Championship Meet. 2nd by Jan Bullock. Motion passed. Leah Tincher volunteered to be the head judge at the 2010 Championship Meet on July 31, 2010.

6. Each rep was given a copy of the FCSSL By-Laws. These need to be updated. This issue will be tabled until the next meeting in April 2010. The DQ slips will be provided by the home team.

7. The Computer Clinic and the Stroke and Turn Clinic will be held at Jacksonville Golf & Country Club on Saturday, May 22, 2010. The computer clinic will begin at 9:00 am and the stroke and turn clinic will be held at 10:00 am. There will be a sign-up sheet at the April meeting to determine if there is enough interest to hold these clinics.

8. There was discussion about the scoring of the events at the Championship meet. TG Kyrazis suggested that the scoring be as follows:

Score 1-16 on individual events

Medals 1-8 on individual events

Ribbons 9-16 on individual events

There will be NO Super Swimmer Ribbons this year.

Score 1-8 on Relay events

Medals 1-3 on Relay events

Ribbons 4-8 on Relay events

TG also suggested that we allow “B“ relays at champs if there is space available. The “B“ relays will be for exhibition only.

9. Kellie Teate volunteered to be in charge of the awards for champs. This will include medals, ribbons and trophies for all teams participating.

10. Leah Tincher has purchased the Hy-Tek 3.0 Meet Manager and it is licensed to the First Coast Summer Swim League. There was discussion if every team can use this program. TG Kyrazis will check it out to see if it will work for the league and if so, there is a possibility that the league will help pay for it.

11. TG Kyrazis has done some preliminary work on the website. There was a motion by TG that we spend the $100 to create the website, 2nd by Roy Deary. Motion passed.

12. Cindy Fritts brought up the timeline for the league insurance. It was discussed that the league fees of $15 per swimmer are due by June 1, 2010 with a roster exported from Team Manager.

13. Each team set their 2010 schedule and it will be distributed by email.
